Application and Exhibitor’s Terms of Participation

Craftsmanship
- Exhibitors will be selected based on originality and craftsmanship. The Selection Committee will ensure a variety of media are represented in the show. Decisions of the Selection Committee are final.
- Only top-quality, original workmanship will be accepted. The Exhibitor submitting the application must have handcrafted items or must be personalizing manufactured items.
Originality
Anytime during the show, DSBN reserves the right to require the removal of any work that is found not to be original and/or designed/produced by the Exhibitor, up to and including the complete removal of the booth. In these circumstances, no registration fee would be refunded.
PG-13 Content
If the Exhibitor is selling items that are not appropriate for school-aged children, the DSBN reserves the right to assign booth space among other vendors with PG-13 content so that families/visitors can be made aware that the content may not be appropriate for children.
Booth Aesthetic and Standards
All booths must be of a professional standard. Exhibitors must supply their own booth and display unit(s) and are responsible for keeping their booth clean and free of tripping hazards. All Exhibitors must ensure that their booths conform to all municipal and fire standards and must hold the documentation of proof of conformity.
Exhibitors shall not discount products
Signs reducing merchandise pricing and/or ‘Special Sale’ signs of any kind are not permitted at any time during the event.
Insurance Requirements
- Exhibitors shall indemnify and save harmless the DSBN and its respective elected officials, officers, employees, agents, successors and assigns from and against all claims, demands, actions, losses, damages, suits, proceedings, expenses, costs, including all legal fees and disbursements, of every nature and kind whatsoever, including without limitation any fines or charges assessed against the DSBN by any government or other officials related to any Exhibitor’s actions, which the DSBN and its respective elected officials, officers, employees, agents, successors, and assigns may suffer, arising out of, or attributable to the acts or omissions of the Exhibitor, its board members, officers, directors, servants, employees, agents, successors, assigns and anyone for whom at law the Exhibitor is responsible, in the performance of its obligations under this agreement.
- Exhibitors must carry general liability insurance of at least two million dollars ($2,000,000) and name the District School Board of Niagara (191 Carlton St., St. Catharines ON L2R 7P4) as an “Additional Insured.” The insurance certificate must be valid for the dates of the ARTfest. An insurance certificate, proving compliance with this requirement shall be provided by September 1, 2025 to the ARTfest Coordinator. Failure to provide documentation by the deadline may result in cancellation of this contract.
Security and Storage
Security will be provided on Friday, Saturday and Sunday from 6 p.m. to 7 a.m. Boxed articles may be stored in the school gymnasium in an orderly fashion. The gymnasium will be secured for the night by 6 p.m. each day.
No Refunds
Once the Exhibitor has been accepted as a participant and paid for their booth, no refunds will be issued for any reason (health or otherwise).
Expectations for Exhibitors
- Exhibitors must be completely set up by 10 a.m. October 11, 2025.
- Sales permits and collection of all appropriate sales taxes and GST are the sole responsibility of the Exhibitor. Exhibitors are responsible for their own charge card services and sufficient data networks to run their devices.
- Exhibitors shall observe DSBN Policy at all times by ensuring that they, and any staff or volunteers at their booth, do not use tobacco, alcohol, recreational cannabis, illegal narcotics, or controlled substances on DSBN property.
- Space sharing is not permitted nor is encroaching onto an open space near your booth. An additional fee will be assessed at the DSBN’s sole discretion if Exhibitors occupy space beyond their booth.
- Exhibitors are expected to participate for the duration of the event unless extreme weather conditions force the ARTfest Committee to declare the event cancelled. A refund will not be issued. Any Exhibitor who leaves the show prior to 5 p.m. on any given day without consulting the coordinators will be prohibited from applying to and participating in future shows.
Parking and Restrooms
- Exhibitors will only be provided with one vehicle parking space. Recreational vehicles or heavy trucks will not be permitted on the school grounds. All vehicles must be removed from the exhibition and sales area and streets no later than 9 a.m. each day of the event.
- Washroom facilities and food concessions are available outdoors on site. Upon presentation of appropriate identification badges, Exhibitors may be permitted to use the washroom facilities inside the school.
